Privacy policy

What we collect, why we collect it, who helps us process it and what you can ask us to do.

Who we are

Kallorix is a sole-trader business in the United Kingdom. For questions about this policy or your information, email help@kallorix.co.uk.

Two kinds of information

Information about you, our customer. For this we decide how it is used (we are the "controller").

Information about people who ring your business. We handle this on your behalf so we can provide the service (we are your "processor", and you are the controller). You are responsible for telling your own customers how their information is used.

What we collect about you

  • Your business website address and the public text on it, read to draft your receptionist's details
  • The business details you confirm: name, services, areas covered, opening hours and similar
  • Your email address and mobile number, when you start a trial
  • Your plan, trial dates and how many calls and minutes you have used
  • A reference to your customer and subscription records at our payment provider. We never see or store your card number.

To stop repeat free trials and misuse we also keep scrambled, one-way versions of your email, mobile number, card fingerprint and internet address. These cannot be turned back into the originals.

What we collect about your callers

  • The caller's phone number, when it is not withheld
  • The time and length of the call
  • A short written summary of what they said, which we text to you

We do not keep recordings of calls. The conversation is turned into text while it is happening so the summary can be written, and that full text is not stored by us.

Why we use it

  • To provide the service you have asked for (performance of our contract with you)
  • To take payment and keep records we are required to keep (legal obligation)
  • To prevent misuse and keep the service secure (our legitimate interests)

We do not sell personal information, and we do not use it for advertising.

Who helps us process it

We use these companies to run the service. Each processes only what it needs for its part.

  • Cloudflare hosts the website and our database
  • Twilio carries the phone calls and sends text messages
  • OpenAI provides the voice assistant, turns speech into text during a call and writes the summary
  • Stripe takes payments

Some of these companies process information outside the United Kingdom, including in the United States. They do so under the safeguards those companies provide for international transfers.

How long we keep it

We keep account and call information for as long as your account is open, and afterwards only as long as we need it for tax and legal records. You can ask us to delete call summaries and caller numbers at any time.

Cookies

We do not use advertising or tracking cookies. The site stores a small entry in your browser so it can show your account when you return on the same device.

Your rights

You can ask us for a copy of your information, to correct it, to delete it, or to stop or limit how we use it. Email help@kallorix.co.uk and we will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes

If we change this policy we will update this page and the date below.
