Security and how we handle calls

The practical answers: what is protected, what is kept, what happens when something goes wrong and what the receptionist will not do.

How information is protected

  • The website and its connections use HTTPS throughout.
  • Call audio is carried encrypted between the phone network and the voice assistant.
  • Demo codes and account access keys are stored only as one-way scrambled values, never in readable form.
  • Card details are entered on our payment provider's page and never reach our systems.
  • Requests from our phone and payment providers are checked for a valid signature before we act on them.

Recording and transcripts

We do not keep recordings of calls. Speech is turned into text while the call is happening so a summary can be written. We store that short summary, the caller's number and the time and length of the call. We do not store the full transcript.

Telling callers the truth

The receptionist answers as your business and is set up to sound natural. It does not introduce itself as an AI, but if a caller sincerely asks whether they are speaking to a real person, it says it is the firm's virtual receptionist. We will not set it up to deny this.

If something goes wrong

  • If the receptionist cannot take a call, we text you the caller's number where we can so you can ring back.
  • If you have used all your minutes, callers hear a short message that you will ring back, and we text you their number.
  • If our service is unreachable altogether, the call behaves as your phone network normally handles an unanswered diverted call.
  • You can switch the divert off at any time by dialling ##004# on your mobile, which returns your phone to normal immediately.

Limits you should know about

  • It cannot ring 999 or deal with emergencies.
  • It cannot pass a live call through to you; it takes the details and texts them.
  • It cannot take payments or make binding bookings.
  • Calls are limited to 5 minutes each.

Phones it works with

It works with UK mobiles and landlines that support call divert, which most do. Internet phone systems usually have a forwarding setting that does the same job. Your network may charge for diverted calls depending on your tariff.
